The Excursions page helps you plan, review, and manage school trips and activities. It brings together planning details, people, documents, tasks, approvals, and risk information in one place.

What You Can Do

  • View all excursions in your workspace.
  • See each excursion’s workspace status at a glance through a labelled badge with the status icon and colour.
  • Filter and browse excursions by status or planning stage.
  • Create a quick draft when you only need to capture the basics.
  • Start a new excursion using a guided builder.
  • Open an excursion to review the full planning workspace.
  • Manage overview details, departure and return times, itinerary information, staffing, participants, transport, forms, documents, emails, and website details.
  • Track linked tasks and activity for an excursion.
  • Review risk management information and approval progress.
  • Prepare information for parents, staff, and reviewers.

Common Workflows

Create a new excursion

Start with a quick draft if you are still gathering details, or use the guided builder when you are ready to work through the main planning steps. When creating an excursion, you can optionally set the Departure and Return times. Both fields use a date and time picker. The form blocks the save with Return time must be after the departure time. if the return is not later than the departure. You can leave both blank and add them later from the Overview tab.

Review an excursion before approval

Open the excursion and check the relevant tabs, including overview, participants, staffing, risk management, documents, and reviews.

Keep planning work together

Use the excursion detail page as the central place for related tasks, forms, emails, files, comments, and activity.

Use these guides when you are working inside an individual excursion:

Workspace Status Badge

Excursion list and card views show a workspace status badge that reflects the status defined for your workspace, including its name, icon, and colour. Excursions without a status assigned show as Unassigned. This makes it easier to:
  • Recognise where each excursion sits in your workspace’s planning process.
  • Group similar excursions visually using your workspace’s status palette.
  • Spot excursions that still need a status assigned.
You can change the status from the Overview tab.

Tips

  • Draft excursions are useful for capturing early ideas before the plan is complete.
  • Use tabs on the excursion detail page to focus on one planning area at a time.
  • Keep participant, staffing, transport, and risk details up to date before sharing information more widely.
